Task Reminder

The Task Reminder Section allows you to set task reminders for all employees or specific employee roles. Adding tasks can be useful for scheduling recurring reminders (e.g. periodically recurring meetings or daily duty reminders), or one-time reminders (e.g. reservation/event reminders).

There are two types of task types:

  • Module Base – a task reminder that pops up when a particular module window open.
    (e.g. You can have the system launch a task reminder every time an employee logs in to the system.
  • Time Base – a task reminder that pops up at a set time.

Add a New Module Based Task Reminder

  1. In the Task Details window, press the Add button.
  2. Select Module Base under Task Type.
  3. Fill in the required information: Task Subject (40 character limit), Module, and Importance.
    *Levels of Importance:
    – Highest
    : Task subject displays in red.

     Normal: Task subject displays in green.

    Lowest: Task subject displays in black.

  4. Select Roles by pressing the + button. You can select multiple employee roles at a time. After choosing the desired employee roles, press Select.
    To remove a role from the list, highlight the role in the list and press the  button.
  5. You can also add a picture, or comments that will show up in the Task Reminder under the Task Subject.
  6. When you’re done filling in the information, press Save.
  7. Now, when anyone under the specified employee roles ends up on one of the specified modules, the Task Reminder (shown below) will launch.

    Don’t Show Again – It will never show the task reminder again.
    – OK, I got it – The reminder will display again when the whole system restarts.
    – Remind me Again – It will display the task reminder again when the employee logs in without closing the system.

Add a New Time Based Task Reminder

  1. In the Task Details window, press the Add button.
  2. Select Time Base under Task Type.
  3. Fill in the required information: Task Subject (40 character limit), Start Date (through the Calendar window), Start Time (through the Time Select window), and Importance.
    *Levels of Importance:
    – Highest
    : Task subject displays in red.

     Normal: Task subject displays in green.

    Lowest: Task subject displays in black.

  4. Select Roles by pressing the + button. You can select multiple employee roles at a time. After choosing the desired employee roles, press Select.
    To remove a role from the list, highlight the role in the list and press the  button.
  5. If selecting Remind Before, make sure to enter the amount of time you want to be reminded prior to Start Time. Checking Remind Before will prompt a Task Reminder to pop up at your specified time before the start time, and another reminder will pop up at the time of the actual start time.
  6. If making a recurring task reminder, you have several different options:
    • Once – for one-time task reminders
    • Daily – will recur every day according to the times that you set
    • Weekly – will recur every week according to the weekday and time that you set
    • Monthly – will recur every month according to the month date and time that you set
  7. You can also add a picture, or comments that will show up in the Task Reminder under the Task Subject.
  8. When you’re done filling in the information, press Save.
  9. Now, everyone under the specified employee roles will receive a Task Reminder according to the date and time that you set.

To UPDATE a Task Reminder, navigate for the task reminder via the dropdown menu, or navigational arrows. Update the information, and press Update.

To DELETE a Task reminder, navigate for the task reminder via the dropdown menu, or navigational arrows. Press Delete.
